Q: How long does it take to migrate?

A: We know it is important to get you up and running on Acumatica as quickly as possible. Each implementation is different. We have implemented some companies in as little as 7 weeks and others have taken a full year. Typically, an implementation will take between 4 to 6 months.

Q: How can we migrate faster?

A: The constraint that extends the timeline is resources. To do the work in a shorter timeframe, it needs more resources. You can do this a couple of ways. First, you can add more work to your team if they have available time, or you can assign more of the work to the Algorithm team, which then will lead to increased costs for the project. This is the project management triangle in action.


Q: What options do I have for paying for the migration?

A: There are several ways. The first option is more traditional where you pay for the services as incurred. A second option is purchasing a prepaid block of services at a discounted rate. Finally, by using a predetermined implementation scope, Algorithm can finance your implementation costs over 36 months.

Q: How can we keep the migration costs down?

A: Because a good portion of implementation costs are for professional services, you can consider using alternate resources to perform some of the work normally purchased. Examples of these classes include initial navigation and transaction training and report writing.

Q: Moving to a new system is a big step for us. We have used our current system for 20 years. How do we know this is going to work?

A: First of all, it’s a huge investment so you wouldn’t and we won’t let you sign up for something unless the value and benefits are crystal clear. We are going to help you succeed.

Second, Algorithm has an implementation methodology that has been designed, tested, and redesigned and retested over 27 years. We are your partners and this is what we do. Our implementation team averages over 15 years of consulting and implementation experience.

Plus, every consultant has held non-consulting positions in companies big and small, so we understand business, not just software. We are here to guide you, help you and make you successful.

Data Migration

Q: Our data is a mess. Do we have to bring it all over?

A: Great question! You know your data and what is valuable versus what is not. Your data can be cleaned up in either your legacy system, or during the conversion, depending on how you want to change things. We typically don’t bring over any master record that is marked as obsolete or inactive. We can work with you to determine the best way to reach your goal and bring over only the data that brings you the most value.

Q: Our legacy system is a piece of junk, but it’s our piece of junk. We have used it for years and are comfortable with it. I don’t know if we can get people on board with the move. Any advice?

A: It’s obvious you have a great team, a smart team that can figure things out. That is why they can do the things they are doing with your current system. Start now to talk to them about how Acumatica can start to give them back some of their time, time they spend making the system work instead of going to baseball games or school programs. Also, remind them they didn’t know how to use your current system, they probably learned it on their own. We will help them learn Acumatica and save them from the struggles of teaching themselves. 

Q: What information will be converted?

A: We will convert your active master files general ledger accounts, customers, vendors, inventory items and bill of materials from your legacy system.

Your inventory quantity on hand with costs will also be added. We will also convert open transactions including open AR and AP items, sales orders, purchase orders, and production orders so you can start conducting business from day one with a full set of data. For the general ledger we will import period balances for the prior year and current year to enable you to run comparative financial reports.

You have the option of having your order entry and purchase order history added to custom tables in Acumatica. By adding that data, you can add that data to Acumatica generated data for killer analysis.

Q: Will you be converting my Excel spreadsheets?

A:  That depends on a couple of things.

First of all, a modern ERP system like Acumatica has much better reporting and data analysis capabilities than your legacy ERP system; so many of our users have been able to consume the information in Acumatica and not put the data into Excel. That is a win for everyone. No additional spreadsheet for the user to maintain and a single source of the truth for the entire organization.

Second, if you have a very complex spreadsheet that you cannot change, we can make sure updating that spreadsheet is included in the report.  One of the tools in Acumatica will allow you to build a data set that can be automatically imported and refreshed in Excel.  Here is a link to see how:
